We collect only what we need to respond to enquiries, arrange assessments and provide our services. We don’t sell personal information, use enquiry details for mailing lists, or run advertising or behavioural trackers on this website. Any website measurement is aggregate and doesn’t include form contents.
Who we are and what this policy covers
IPS Infotech, ABN 46 630 130 988, provides business process automation, AI, IT services and technology consultancy from Camden, Sydney NSW. This policy covers information collected through our website, enquiry form, booking calendar, email, WhatsApp, meetings and service work.
Information we collect
Depending on how you interact with us, this may include:
- your name, work email, optional mobile number, business name and enquiry details;
- information you share about a business process, system, project or support request;
- answers supplied to the AI Automation Opportunity Scanner, its deterministic scores and estimates, and the assumptions used to prepare a requested report;
- booking details, meeting notes and correspondence; and
- limited technical information used to deliver and protect the website, including a one-way hash of the submitting IP address for form rate limiting.
How the enquiry form works
When you submit the form, the details are sent to a IPS Infotech endpoint and stored in our enquiry database. We use them to review the request, reply within one business day, arrange an assessment, and keep an appropriate business record.
The form includes a hidden bot check and basic rate limiting. When transactional email is configured, we send a confirmation to the work email you provide and a notification to IPS Infotech. We don’t add you to a marketing list.
The opportunity scanner shows its initial estimate before it asks for contact details. Your in-progress answers stay only in the current page and are not stored by IPS Infotech. If you consent and request the full report, we store the answers, calculated values, confidence, risk, readiness and recommended solution with your enquiry so we can review the model and respond. The calculator works without an AI model and does not send free-text answers to one.
Booking, WhatsApp and service providers
The booking page embeds Cal.com. If you use it, Cal.com processes the booking information needed to show availability and create the meeting. Website hosting, security and transactional email are provided through Cloudflare services.
After a successful enquiry, we temporarily keep the name and work email you supplied in this browser tab so the booking form can be prefilled accurately. This session-only copy is removed when you finish the flow and is otherwise discarded when the tab or browser session ends.
The website’s WhatsApp links open a chat with IPS Infotech. If you use them, WhatsApp and Meta process the communication under their own terms and privacy policy. We use the message only to respond to your enquiry and keep an appropriate business record.
The Contact page includes a lazy-loaded Google Maps preview of our Camden service area. If it loads in your browser, Google may receive limited technical information such as your IP address and browser details under its own terms and privacy policy.
We configure customer project data to stay in Australia. Some website delivery, booking and email providers operate globally and may process limited technical or communication information outside Australia under their own service terms.
Why we use information
We use personal information where reasonably necessary to:
- respond to enquiries and arrange assessments;
- scope, provide and support agreed services;
- manage customer relationships and business records;
- protect our systems, customers and website; and
- meet legal, regulatory and record-keeping obligations.
Disclosure, security and retention
We may share information with providers that help us operate the website, email, calendar, messaging, cloud systems, security and professional services, but only where reasonably necessary. We may also disclose information with your consent or where required or authorised by law. We don’t sell or trade personal information.
We take reasonable technical and organisational steps to protect information and restrict access. We retain it only for as long as reasonably needed for the purpose collected, legitimate business records or legal obligations, then delete or de-identify it where appropriate.
Cookies and website measurement
IPS Infotech doesn’t use advertising or behavioural tracking on this website. We may use privacy-friendly, cookie-free measurement to understand aggregate page visits and whether an enquiry or appointment was completed; form contents and contact details are not sent as analytics events. Essential hosting and security features, and the booking hand-off described above, may use short-lived technical storage. Cal.com may use its own storage when you open the booking page.
We’ll review this policy and consent controls before adding any non-essential cookies or marketing technology.
Access, correction and complaints
You may ask to access or correct personal information we hold about you. You can also raise a privacy concern with enough detail for us to understand it. We’ll acknowledge the concern and aim to respond within a reasonable period.
If you’re not satisfied with our response and the Australian Privacy Act applies, you may contact the Office of the Australian Information Commissioner.
